The following is an example of how to use the ROBO Index / Category List system. (see Box 2):

1. Look at the list of topics found on the Category List and select its corresponding, four-digit number.Ex: Category or "Issue": 3511Project: THANK YOU-Seagull Villa Apartments in Crescent City
2. Look next at the Clausen Letter Index and find the four-digit category number from Step 1. The number beside it with an X prefix is the corresponding "ROBO" number. This is the number given to the letter that responds to the issue numbered originally in the category list.A printed version of this list has been made and can be found with the fiche. It combines the ROBO Numbers with the corresponding category numbers as shown on the actual ROBO letters for a more complete index.Ex: Category #3511 is listed with ROBO # X255.
3. Now that you know the ROBO Letter Number that discusses a given topic (selected in Step 1), you can locate the template letter sent to constituents in response of their topical query. Look at the (light blue) Clausen ROBO Letters index on the fiche that contains your ROBO number.Ex: The ROBO Letters fiche that contains ROBO X255 would be the fiche with the header "X239-267". The letters are ordered sequentially on the fiche.
4. You can also use the ROBO Number to search through the constituent correspondence found in this box (Box 3). Find the yellow header fiche entitled "Clausen ROBO File". There you may find a copy of the actual ROBO Letter again, as well as correspondence with constituents or agencies involved in the topic. Again, find the fiche with the header numbers that would contain your ROBOEx: Robo # 255 would be found in the yellow "Clausen Robo File" in the fiche with the header number "X254-X256". There one can find a copy of the Robo letter sent out, as well as series of correspondence on the subject that begins with a letter to Clausen by Mr. Howard Cronk-a General Contractor in Crescent City who is involved in the construction of the Seagull Villa Apartments.
